Why role-based access matters in healthcare

The four core clinic roles

Most clinic management platforms use four foundational roles: Admin, Doctor, Reception, and Billing. Each has a different permission set.

The Admin role sees and can configure everything. The Doctor role sees their own patients, consultations and prescriptions. Reception manages appointments, check-in and the queue. Billing handles invoices, payments and financial reports.

Multi-branch role considerations

In a multi-branch clinic, a clinic administrator at Branch A may not need visibility into Branch B records, but the medical director may need cross-branch access.

Look for platforms that support branch-scoped roles — where a staff member access is limited to their assigned branch — as well as system-wide roles for owners and medical directors.

Audit trails for compliance

Every access to patient records, every change to a clinical note, and every modification to billing data should be logged with the user, timestamp and action.

Your clinic management software should maintain an audit log that cannot be edited by users. Review the audit log periodically and after any suspected unauthorised access.
