The order of setup matters
Setting up clinic management software in the wrong order causes problems that take weeks to untangle. The most common mistake is inviting staff before configuring what they need — staff log in, find nothing set up, and create workarounds that persist.
Do configuration before activation. Finish the setup steps before any patient-facing activity begins.
Step 1: Clinic profile and billing settings
Start with clinic name, address, phone, email, logo, and legal name. These appear on every invoice and patient communication. Also configure VAT registration status and tax rate — in the UAE, most clinics charge 5% VAT.
Getting tax settings right from the start means you are not issuing incorrect tax invoices on day one.
Step 2: Staff and roles
Add every staff member who will use the system. Assign the minimum role that covers their job function. Verify that each staff member can access what they need and cannot access what they should not.
Do this before any clinical activity begins. Records created under incorrect accounts are surprisingly difficult to reassign.
Step 3: Services, pricing and specialty procedures
Build your services catalog completely before any billing begins. For specialty clinics, also configure the specialty chart procedure prices at this stage — dental procedure prices, physiotherapy procedure prices, or dermatology procedure prices.
The catalog is the foundation of billing accuracy. Missing items in the catalog mean items not captured on invoices.
Step 4: Go live and iterate
With profile, staff, services and scheduling configured, start with a soft launch — reduced patient load while staff are learning. After two weeks, review what is not working and adjust.
The initial setup is never perfect. The goal is a solid foundation that can be refined, not a perfect configuration that delays launch.
